The Helmholtz Centre Potsdam - GFZ German Research Centre for Geosciences is the national centre for research into the geosphere. Assistant to the Scientific Executive Director (f_m_x)

Your responsibilities:
- Organisation, coordination and implementation of administrative work processes and procedures as an integral member of the Assistance Team supporting the Scientific Executive Director of the GFZ
- Office management, planning and organisation of internal and external business meetings, events, telephone and video conferences
- Active support work with the preparation of GFZ committee meetings and other governance activities with national and international participants
- Handling of all spoken and written communication and correspondence with internal staff members and external partners and contact persons in both German (C1) and English (B2)
- Preparation and follow-up of board meetings and events (including the preparation of meeting minutes)
- Planning and organisation of national and international business trips for the Scientific Executive Director
Your qualifications:
- Qualification as foreign language secretary (f_m_x) or similar, i.e. commercial or administrative training with proven written and oral secretarial and office work (proof of English language skills B2 level required)
- Professional experience in executive assistance or comparable desired
- Proficient handling of MS Office applications (Word, Excel, PowerPoint, Outlook, SAP) and Adobe tools
- Highly motivated and confident manner, strong organisational and communication skills as well as willingness to work in a team
- Independent, service-oriented and result-oriented work approach, high flexibility, ability to work effectively under pressure, self-starter and quick learner
- Pronounced integrity and discretion in dealing with information and contact persons at all levels

Fixed-term: 2 years with the option of a permanent contract
Salary: The position is classed as salary group 8 according to “TVöD Bund (Tarifgebiet Ost)”. The salary group is determined on the basis of the Collective Wage Agreement and the respective personal qualifications.
Working hours: Full-time (currently 39 h/week); The position is generally suitable for part-time work.
